How Fleet Operators Benefit From Using Smart Cameras

In the ever-evolving landscape of transportation smart cameras have emerged as a game-changer for commercial vehicle operators. These advanced systems offer a multitude of benefits that enhance safety, efficiency, and overall fleet management. While some markets are more traditional in their implementation, others are already seeing the benefit.

Below we discuss some of the key advantages and possible risks of integrating smart cameras into commercial vehicles.

Indisputable benefits for fleet business operations include:

Enhanced Safety

One of the primary benefits of smart cameras is the significant improvement in safety. These cameras provide real-time monitoring and recording of the vehicle’s surroundings, helping drivers avoid potential hazards. Features such as lane departure warnings, collision detection, and blind-spot monitoring alert drivers to potential dangers, reducing the risk of accidents.

Driver Behavior Monitoring

Smart cameras can monitor and analyze driver behavior, providing valuable insights into driving patterns. In combination with AI this data can be used to identify risky behaviors such as speeding, harsh braking, and distracted driving. Fleet managers can use this information to implement targeted training programs, promoting safer driving habits and reducing the likelihood of accidents.

Digital Incident Evidence

In the event of an accident or dispute, smart cameras provide crucial evidence through recorded footage. This proof can be invaluable for insurance claims, legal proceedings, and resolving disputes. Having clear, unbiased video evidence helps protect both the driver and the company from false claims and liability.

Theft Prevention and Recovery

Smart cameras can act as a deterrent to theft and vandalism. The presence of cameras can discourage such activities, and in the event of a theft, recorded footage can aid in the recovery of stolen goods and vehicles. This added layer of security helps protect valuable assets and reduces financial losses.

Compliance and Accountability

Regulatory compliance is a critical aspect of commercial transportation. Smart cameras help ensure that drivers adhere to regulations such as driving/working time directives and safety protocols. Additionally, the recorded footage holds drivers accountable for their actions, promoting a culture of responsibility and compliance within the fleet. It also offers drivers evidence of their own compliance should any disputes arise.

There are also attendant risks to be considered:

Surveillance Concerns of Drivers & Lack of Transparency

Continuous monitoring of drivers can be perceived as intrusive and may lead to concerns about constant surveillance. Drivers might feel that their privacy is being invaded, which could impact their morale and job satisfaction. Considering the current shortage of drivers in the commercial vehicle segment, this might lead to a less attractive work environment.

Furthermore, there is a risk that the data collected by smart cameras could be misused by employers or third parties. For example, data could be used to unfairly penalize drivers or for purposes other than those originally intended, such as marketing or profiling.

Especially if drivers are not fully informed about the extent and purpose of the monitoring, it can lead to mistrust and concerns about how their data is being used. Transparency is crucial to ensure that drivers understand what is being recorded and why.

Legal and Regulatory Compliance

Different regions have different laws and regulations regarding data privacy and surveillance. Companies must ensure that their use of smart cameras complies with all relevant local requirements to avoid potential legal issues and penalties. Especially the GDPR regulations of the European Union or in the UK the Greater London’s DVS regulations must be considered when implementing such projects. Smart cameras collect and store a significant amount of data, including video footage and driver behavior information. Data must be properly stored and secured.

Conclusion

There is a clear market trend in implementing smart cameras into commercial vehicle fleets. The demand has significantly increased over the last few years. In the US, Europe and especially in the UK, we have been involved in an increasing number of projects, from planning to full implementation.

Did you know, that in recent years, the European Union has been making significant strides in updating its tachograph rules for the road transport within its borders? There are currently major changes underway, that could significantly impact any telematics installation project that you might be planning for 2024/2025.

The Significance of Tachographs:

Tachographs are devices used to record and monitor the driving time, speed, and rest periods of professional drivers. These rules aim to enhance road safety, prevent driver fatigue, and ensure fair competition in the road transport sector. The digital version of tachographs have been around for more than 10 years and require installation and service work from approved, qualified and certified installers.

Regulatory Changes and Mandates:

Since August 2023 “Regulation (EU) 2020/1054” of the EU mandates the installation of the 2nd -generation of tachographs in all NEW heavy-duty vehicles. These 2nd-generation devices offer improved functionalities and data accuracy, playing a crucial role in empowering authorities in any EU country to conduct remote checks on tachograph data.

However, by August 2025, ALL vehicles currently equipped with 1st-generation smart tachographs must have these replaced with the 2nd– generation technology. Furthermore, starting from July 2026, all new vehicles used in international road freight transport or cabotage operations, weighing over 2.5 tons, must also be equipped with second-generation intelligent tachographs.
How will this affect your future telematics projects?

There is currently a massive demand for installation services for tachographs across all countries of the European Union and it puts additional pressure on any project related to the installation of devices for telematics, smart cameras, tolling and other IoT devices. Prices are increasing as the availability of resources becomes stretched.

Strategies for Success:

Therefore, planning ahead and defining the scope of the project early and accurately is crucial for any installation project to be completed on time. Make sure to openly talk about the situation with your clients to manage their expectations. Your sales and After-Sales teams should plan all project rollouts accordingly and get in touch with industry experts.

If your telematics/IoT project is furthermore targeting an international roll-out be aware that the local in country situation for installation services might be completely different than you would expect.
Keeping all parties informed and involved throughout the project realisation helps to ensure smooth coordination and timely completion of the project.

Installation Projects

Have you ever wondered why so many Fleet Management project installation projects are turning out to be a big nightmare for the vendor and the customer?

Why is it that such projects always take longer than expected? And what does this mean to your business and customer satisfaction?

Poor Management of Customer Expectations without Alignment

Whether the installation is about a 3-Wire Simple Install, a more advanced Tacho/FMS/CAN-Bus-Integration, TPMS, Reefer etc. the customer operational planning team needs to be made aware that this is never a plug-and-play project. Each vehicle is different (brand, make, year, config, etc.), details about the individual vehicles are hardly ever available or are misleading, so hiccups during the installation process are very common.

Therefore, the planning of the vehicles requires enough buffer time and an all-party commitment.

Underestimating the Complexity of the whole Installation Process and its Execution

Once the decision has been taken to use professional fleet management solutions, the implementation planning for the fleet must start early. Are all to be installed device at the right location? Is the fleet operation aware of the need to provide vehicles along with a certain schedule? Where and when will the installation take place? What about other vital basics like shelter, light, power supply etc. Who is the local responsible contact person and who has the keys to the facility and access the vehicles? Are they planning for workshop installs or On-Site-Field installs or a mix of both?

An experienced Project Management Team will need to create the plan and integrate all parties, the provider, the customer and the installer. This is a must have requirement to tackle all aspects and successfully finish such projects, especially on projects with multiple locations and/or international footprint.

Technical Support towards the Installer Organizations

Why do so many FMS vendors expect installers to anticipate the specifics of their products? Even the most experienced installers will not be aware of all the details. There is a risk of misjudgment and this might lead to problems during the installation, or even worse during the operation of the vehicle. Revisiting a vehicle for another service call because of bad instructions is a nightmare for customers, installer and vendors as it produces additional costs. ’First-time right’ has to be the principle, so it is in the best interests of the vendor to provide the installer with the right set of instruction manuals incl. pictures, videos, and ideally for each possible vehicle. In international projects, this also requires the translation of such instructions into the local language.

There are best practices in the industry, proven procedures to document and verify the device installation. Do you have detailed documentation for all products and services incl. instructive Youtube videos? …and in how many languages? Do you have easy-to-understand FAQs? What is your verification method for successful installation? Is the mobile installer APP available in all markets and in local languages? How easy is it to use? How long does the process take?

If the local installer is not well prepared / supported by the TMS provider in the field, chances are high that the installation process will develop problems and might fail.

Neglecting After Sales Support towards the Customer

Many FMS service providers have a clear split between sales and the after-sales organization. The after sales organization needs to have a clear picture about the operational profile of the customer to understand the requirements for solid installation scenario planning. Vehicles that are constantly travelling between customers / depots require a different approach than a fleet that is pretty stationary. Which solution has been sold to the customer and is the customer aware about the installation requirements? Who is the lead project manager at the customer with the power of decision making? If the customer is asked to organize the installation using his/her own initiative, who will remind the customer about the need to install? Revenue recognition is at stake if this process takes too long. Who will help the customer to start using the solution and how to support the initial period to become familiar with the solution?
Anticipate challenges that most customers have when they start using the new products and services. Help them to overcome those initial days by providing pro-active support.

Managing Cultural Differences and Challenges

Different organizations, different countries typically have different business habits. More often than not, misunderstandings are jeopardizing the common goal. Do not take anything for granted just because this is the way your organization works in different countries. Patience and clarification of perceived simple tasks is mandatory. Managing the expectations of all parties involved is too often neglected. Think about using a cultural translator that understands the project, the business habits of the country and the operational interests of all parties involved.
Only a dedicated, experienced project manager will be able to smoothen the edges of a complex installation project.

There are many more challenges to an installation project. With the above list, it should be clear, that just focusing on the physical installation task is only 10% of the required activities. Therefore, while the price charged by the install partner is important, there are many additional tasks that somebody has to manage. This comes with additional internal costs, and the more inexperienced the team is, the higher the risk to run out of time and budget and to jeopardize a successful onboarding of customers.
